SUMMER PROGRAM MANAGER

Adventure Theatre MTC (ATMTC), a 501-C3 not-for-profit children’s theater and musical theater training academy with locations in Rockville and Glen Echo, MD seeks a qualified candidate to serve as the Summer Program Manager at the Glen Echo Park location. The Summer Program Manger serves as the “face” of ATMTC Academy, by being the primary liaison in Glen Echo Park during the summer months, answers the summer hotline, and assists with the daily operations and oversight of the camp during the summer months. The Summer Program Manager is a primary stakeholder of the organization as it relates to general recruitment of students into the Academy, as well as retention of those students.

 

Duties Include:

  • Preparing summer camp materials for both on and offsite programs: editing, compiling and copying of scripts, activity packets, material bags (swag), crafts, candy-grams, videography, program ads;

  • Acting as registrar for Summer Camp Enrollment, both on and offsite: fielding parent inquiries, enforcing refund policies/issuing refunds when applicable; collecting necessary enrollment/medical/consent paperwork; maintaining session rosters;

  • Creating cast groupings and final performance times by grade, request, needs of students and returning camper preferences, school conflicts, etc.;

  • Working with AED to hire/schedule and manage summer staff for both on and offsite programming, creating a counselor handbook; implementing orientation/staff training; schedule/conduct regular staff meetings; distributing important information to Staff as needed and ensuring that guidelines and procedures are adhered to;

  • Acting as primary resource person and liaison between parents, Summer Staff, production, costumer, and ATMTC staff; addressing parent and student concerns in a professional and timely manner; ensuring protocol of proper disciplinary measures are met and taken when appropriate/needed;

  • Implementing processes for and distributing daily Kid’s Cue and student feedback via email;

  • Reviewing and validating time sheets for all summer staff; distributing paychecks;

  • Tracking budgeted expenditures; purchasing snacks, carousel tickets for children;

  • Coordinating with Summer Staff/Production Manager and ATMTC staff for needed properties and production needs for each show & facilitating prep and wrap-up weeks;

  • Attending marketing and recruitment camp events as requested, and visiting on and offsite class locations during Summer sessions frequently;

  • Ensuring facilities and equipment are maintained and kept in an acceptable, safe condition;

  • Conducting attendance each morning and providing statistics for each session;

  • Developing and/or maintaining routines, schedules and procedures for Camp operation;

  • Taking a lead role in other Summer Camp related areas, as assigned by the Assistant Education Director;

  • Participating in summer related academy & outreach activities and performances outside regular business hours; and

  • Being available to assist in any other capacity as assigned.

 

Qualifications

  • Bachelors’ Degree;

  • Experience in customer service, hospitality or reception;

  • Record of attention to detail required;

  • Proficiency in ticketing, registration, donor, or event software;

  • Proficiency in Microsoft Office Suite;

  • Excellent verbal, written, organizational and interpersonal skills;

  • Demonstrated attention to detail;

  • A background in or knowledge of arts/arts education preferred;

  • Ability to work in a team environment;

  • Ability to work on a variety of projects simultaneously;

  • CPR/First Aid certification (up to date and re-issued); and

  • Clearance to work with minor children via Federal and State Background Check.

 

Seasonal, exempt position. 12 weeks, approximately 40 hours per week; $12 per hour. June 8, 2015 – August 28, 2015.

REGISTRAR

Adventure Theatre MTC (ATMTC), a 501-C3 not-for-profit children’s theater and musical theater training academy with locations in Rockville and Glen Echo, MD seeks a qualified candidate to serve as the Registrar. The Registrar of Adventure Theatre MTC is responsible for patron registration of the organization’s Academy programs, quality customer service of the same and assists with all administrative needs of ATMTC including daily office administration of the Wintergreen Plaza location.

 

Duties Include:

  • Registering all patrons for Academy and other student programs; maintaining accurate patron data, including payments/invoicing, personal information/needs, and attendance; and distributing registration information to other program leaders when applicable;

  • Greeting patrons; being knowledgeable about ATMTC Academy and other activities, fielding initial calls and face-to-face inquiries and routing inquiries to appropriate personnel as needed;

  • Communicating effectively with students, parents and prospective parents;

  • Maintaining the Academy calendar for both locations and coordinating the master calendar with the Patron Services Manager (space rentals/extended care/parties) and Production Manager (productions);

  • Renewing and contacting lapsed students;

  • Responding to requests and needs of students, parents and teachers in an appropriate and timely manner;

  • Staffing and managing the “front desk” during high volume class, business and weekend hours as needed at the Wintergreen Plaza location;

  • Routing visitors and phone calls to appropriate personnel;

  • Handling incoming/outgoing mail/faxes and associated responsibilities;

  • Providing administrative support to the Education Director (ED), Assistant Education Director (AED), teaching artists, and instructors and providing administrative support for other departments as assigned;

  • Helping with the promotion, sales, recruitment and renewal efforts of all Academy programs;

  • Maintaining flexible office schedule/weekly hours, as dictated by the season;

  • Ensuring all public areas are welcoming, cleaned and well stocked with publicity/marketing materials at the Wintergreen Plaza location;

  • Initiate contact with licensure, service and IT contractors, as needed for the Wintergreen Plaza location;

  • Managing distribution and retrieval of building keys for the Wintergreen Plaza location;

  • Maintaining and scheduling cleaning services & inventory at the Wintergreen Plaza location;

  • Coordinating (with the Communication Director) the distribution of collateral material to off-site locations;

  • Participating in academy & outreach activities and performances outside regular business hours; and,

  • Being available to assist in any other capacity as assigned.

 

Qualifications

  • Bachelors’ Degree;

  • Three (3) years’ experience in customer service/hospitality;

  • Supervisory experience;

  • Knowledge of ticketing/registration/donor/event software;

  • A background in arts, preferred;

  • Knowledge of basic accounting practices;

  • Ability to conduct training and/or teaching;

  • Proficiency in Microsoft Office Suite;

  • Excellent verbal, written, organizational and interpersonal skills;

  • Ability to work in a team environment;

  • Ability to work on a variety of projects, simultaneously;

  • Demonstrated attention to detail required; and

  • A warm and welcoming personality and a great attitude.

INDIVIDUAL GIVING MANAGER

WEEKEND/EVENING FRONT DESK STAFF NEEDED:
Adventure Theatre MTC is looking for responsible, organized, and friendly individuals to join our part-time ATMTC Academy front desk staff. This position serves as a frontline resource for the Academy and provides quality service to all individuals including students, teachers, parents, rentalsand guests. Scheduled hours would be on weekday evenings as well as Saturdays or Sundays in our Wintergreen Plaza, Rockville location. Duties include answering phones, greeting patrons in person, providing information about ATMTC programs upon request, assisting staff with administrative and promotional tasks as assigned, setting up/taking down rooms for rentals and performing closing duties of the Academy. BIRTHDAY PARTY HOSTS/HOSTESSES NEEDED:
ATMTC is looking for friendly people to work as birthday party hosts on Saturdays or Sundays. Responsibilities include setting up and cleaning up the birthday party room, greeting the parents and children, assisting the parents with the 1 hour birthday party, and escorting the party to and from the theatre. BIRTHDAY PARTY STAGE COMBAT/CHARACTER ACTORS NEEDED:
ATMTC is seeking qualified Stage Combat instructors, Dance instructors, and Princess Character Actors to lead one hour LightSaber Workshops, Dance Workshops, and Pretty Princess Birthday Parties. Parties are primarily scheduled on weekends during the day. HOUSE MANAGERS NEEDED:
ATMTC seeks house managers.  House Managers will make sure the lobby and theater are in proper order before the show begins, between shows, and at the end of the day.  The House Manager will communicate with the Box Office and Stage Manager to determine when to open the house, help patrons find a seat in the general admission theatre, and make sure rows are reserved for special parties.  During the show, they will work with the Box Office and the Stage Manager to coordinate late seating.  Dress code is business casual.
